Privacy Policy

HouseSquire (“HouseSquire,” “we,” “us,” or “our”) helps families find and place trusted House Managers. This Privacy Policy explains what information we collect, why we collect it, how we use and share it, and the choices you have.

This policy applies to housesquire.com and to the services we provide through it. It covers two groups of people:

  • Families and households who inquire about, or engage, our placement and household support services
  • House Managers and candidates who apply to be placed with a household through HouseSquire

Where a section applies to only one of those groups, we say so.

1. Information We Collect

Information you give us directly

If you are a family or household:

  • Name, email address, phone number, and mailing or service address
  • Details about your household and the support you are looking for, such as household size, schedule, ages of children or other family members, pets, home size, and the tasks you need help with
  • Preferences about the kind of House Manager you are hoping to find
  • Scheduling information when you book a consultation
  • Communications you send us, including emails, form submissions, text messages, and notes from calls
  • Billing and payment details, which are processed by our payment provider. We do not store full payment card numbers on our systems.

If you are a House Manager or candidate:

  • Name, email address, phone number, and mailing address
  • Resume or work history, education, certifications, licenses, and professional qualifications
  • Availability, rate expectations, service area, and the types of household roles you are seeking
  • References and the information those references provide about you
  • Results of background checks, reference checks, and eligibility verification, where you have given us the separate authorization required for those checks
  • Information you provide during interviews, intake conversations, and placement discussions

We collect only what we need to understand a household’s needs, evaluate fit, and make a responsible placement.

Information we collect automatically

When you visit our website, we and our service providers may collect:

  • IP address and general location derived from it, such as city or region
  • Browser type, device type, and operating system
  • Pages viewed, links clicked, time spent on pages, and the site or search that referred you
  • Date and time of your visit

This information is collected through cookies and similar technologies. Section 4 explains what we use and how to control it.

Information from other sources

We may receive information about you from:

  • Background check and screening providers, where you have authorized a check
  • References you have asked us to contact
  • Households or House Managers involved in a placement you are part of
  • Publicly available professional profiles, where relevant to a placement

2. How We Use Information

We use the information we collect to:

  • Respond to inquiries and provide the information you have asked for
  • Understand a household’s needs and identify House Managers who may be a good fit
  • Evaluate candidate qualifications, verify work history, and complete authorized background and reference checks
  • Facilitate introductions, interviews, and placements between households and House Managers
  • Provide ongoing support to households and House Managers after a placement begins
  • Schedule and manage consultations and meetings
  • Send service communications, such as confirmations, updates about a placement, and administrative notices
  • Send marketing emails, where you have opted in. You can unsubscribe at any time.
  • Process payments and maintain business records
  • Understand how our website is used so we can improve it
  • Protect the safety of the households and House Managers we work with
  • Comply with legal obligations and enforce our agreements

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

3. How We Share Information

We share personal information in the following situations, and only to the extent needed.

Between households and House Managers. Placement requires sharing information between the two sides. With a candidate’s knowledge, we share relevant candidate information, including resume, qualifications, and screening outcomes, with households considering that candidate. With a household’s knowledge, we share relevant household information, such as role expectations, schedule, and location, with candidates being considered for the position.

With service providers. We use vendors who perform services on our behalf, including website hosting, email and communication platforms, scheduling software, background check and screening providers, payment processing, and analytics. These providers may only use the information to perform services for us.

For legal and safety reasons. We may disclose information if required by law, subpoena, or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of HouseSquire, the families and House Managers we work with, or others.

In a business transfer. If HouseSquire is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction.

We do not sell your personal information to third parties, and we do not share it with advertisers for their own marketing purposes.

4. Cookies and Tracking

What cookies are

Cookies are small text files placed on your device when you visit a website. They let a site remember things about your visit, such as your preferences or whether you have been there before. Some cookies are set by us, and some are set by services we use. We also use similar technologies, including local storage and pixel tags, which work in comparable ways. For simplicity, this section refers to all of them as cookies.

Why we use them

We use cookies to keep the website working properly and securely, to remember your preferences, to understand how visitors find and use our site so we can improve it, and to make our scheduling tool work when you book a consultation.

We do not use cookies for advertising, retargeting, or building profiles for third-party marketing.

These cookies are required for the website to function. They handle page loading, security, and form submission. The site cannot work properly without them.

Analytics cookies

We use Google Analytics 4 to understand how people find and use our website. This tells us which pages are read, how visitors arrive, and where people leave the site, so we can make it clearer and more useful.

Google Analytics collects information such as your IP address, device and browser type, pages viewed, and the site or search that referred you. We have configured our Google Analytics property to use IP anonymization and we do not use it to identify individual visitors. Google’s use of this information is governed by the Google Privacy Policy.

Scheduling

We use Google’s appointment scheduling tool so you can book a consultation with us. Depending on how you reach it, the booking page may open on Google’s site or load within ours. In either case, Google may set cookies to run the booking flow, keep you signed in if you have a Google account, remember your time zone, and prevent duplicate bookings.

The name, email address, and any details you enter when booking reach us through Google Calendar, and Google handles that information under the Google Privacy Policy as well as this one.

Controlling cookies

Most browsers let you see what cookies are stored, delete them, and block them. Blocking all cookies will prevent parts of our website from working, including the scheduling tool.

You can opt out of Google Analytics on every site you visit by installing the Google Analytics Opt-out Browser Add-on.

Do Not Track and Global Privacy Control

There is no common standard for how websites should respond to browser “Do Not Track” signals, so we do not currently respond to them. We do honor the Global Privacy Control signal where our systems detect it.

5. How We Protect Information

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access. Access to candidate and household files is limited to the people who need it to do their work.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive information, such as Social Security numbers or financial account details, through website forms or ordinary email. We will tell you how to provide that information securely when it is needed.

6. How Long We Keep Information

We do not delete information on a fixed schedule. We keep it for as long as it is useful for the purposes described in this policy, and for as long as the law requires us to keep it. Families often come back to us years later, and a House Manager we met once is frequently the right fit for a role that comes along much later. Keeping our records means we can pick up where we left off instead of asking you to start over.

We decide how long to keep information based on:

  • Whether we have an active or ongoing relationship with you
  • Whether there is a reasonable prospect of working together again
  • Whether we still need the information to support a placement we made
  • Tax, accounting, insurance, and other legal obligations
  • Whether the information could be needed to resolve a dispute or defend a legal claim

In practice:

  • Household and client records are kept for the life of the relationship and afterward, so a family who returns does not have to repeat the intake process. Financial records are kept for at least seven years to meet tax and accounting requirements.
  • Candidate records are kept so we can consider you for future placements. If you would rather we did not, you can ask us to remove your information at any time and we will.
  • Background check and screening reports are the exception. We keep the underlying report only as long as we need it to support a placement decision, then securely dispose of it. We may keep a record that a check was completed and the date it was run.

You can ask us to delete your information at any time, and we will do so unless we are required to keep it. See Section 7 and Section 8.

7. Your Choices

  • Marketing emails. Every marketing email includes an unsubscribe link. You may also email us at hello@housesquire.com and we will remove you.
  • Text messages. Reply STOP to opt out of text messages from us.
  • Updating your information. Contact us at hello@housesquire.com to correct or update information you have given us.
  • Candidate profile removal. Candidates may ask us to remove their profile from active consideration at any time.
  • Cookies. See Section 4 for browser controls and analytics opt-outs.

8. California Privacy Rights

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you the rights described below.

We do not knowingly collect personal information from anyone under 16. Where a household provides information about children in the home as part of describing their needs, that information is provided by a parent or guardian and is used only to understand the role.

Sale and sharing

We do not sell personal information, and we have not sold personal information in the past 12 months. We do not share personal information for cross-context behavioral advertising.

Your rights

You have the right to:

  • Know what personal information we have collected about you, where we got it, why we collected it, and who we have disclosed it to
  • Access a copy of the personal information we hold about you
  • Correct inaccurate personal information
  • Delete personal information we have collected from you, subject to legal exceptions such as completing a transaction, complying with a legal obligation, or maintaining records we are required to keep
  • Limit the use of sensitive personal information. We use sensitive personal information only for the purposes permitted without a right to limit, such as providing the services you requested.
  • Non-discrimination. We will not deny services, charge different prices, or provide a different level of service because you exercised these rights.

How to submit a request

You may submit a request by emailing hello@housesquire.com with the subject line “California Privacy Request,” or by calling us at 405.237.9342. Tell us which right you want to exercise and give us enough information to verify who you are. We will verify your identity by matching the information you provide against our records, and we may follow up if we need more.

We will confirm receipt within 10 business days and respond within 45 days. If we need more time, we will let you know and may take up to 90 days total.

Authorized agents. You may use an authorized agent to submit a request. We will ask for written proof of the agent’s authorization and may ask you to verify your identity directly.

Opt-out preference signals

We honor the Global Privacy Control signal where our systems detect it.

9. Other State Privacy Rights

Residents of some other states have similar rights to access, correct, delete, or obtain a copy of their personal information, and to appeal a decision we make about a request. If you are a resident of one of these states and would like to exercise those rights, contact us at hello@housesquire.com and we will handle your request in line with the law that applies to you.

10. Changes to This Policy

We may update this Privacy Policy as our services or legal obligations change. When we do, we will update the “Last updated” date at the top. If we make significant changes, we will provide additional notice, such as an email or a notice on our website.
